Job Description On behalf of our client, a marketing cooperative owned by growers for growers, we are seeking candidates for immediate consideration for the position of Executive Administrative Support Manager for their Salinas, CA location. This is a full-time professional opportunity and will be hired directly by this employer offering a competitive compensation package including Medical, Dental, Vision, Life Insurance, 401k program with company match, paid holidays, and a paid time off program.

In summary, this position reports to the President/CEO and provides comprehensive administrative support to the President, Executive Staff and the Board of Directors. This individual is responsible for performing a variety of highly confidential and complex administrative, technical and professional duties.

Responsibilities to include but are not limited to the following:
-Support President/CEO in all areas in a variety of capacities including preparing documents and memos, large event planning, meetings, report generation, invoice and expense reporting, database management and assisting in the completion of specially assigned projects.
-Plan, set-up and coordinate meetings. Meetings vary in size, location and complexity; Board of Directors Meetings, Weekly Staff Meetings, Offsite Annual Meetings and others.
-Manage and develop Board of Director Meeting materials to ensure proper and timely notification and distribution of Board materials and agendas.
-Board Recording Secretary: Responsible for all aspects of official Board of Directors Meeting minutes, -Coordinate all aspects of Executive Travel
-Maintain a professional, energetic and productive attitude with all internal and external contacts.
-Initiate regular outside communication with contacts on behalf of the President/CEO.
-Note commitments made by the President/CEO and ensure staff implementation. Ensure that requests for action or information are relayed appropriately.
-Interact with tact and professional demeanor with all staff and external contacts.
-Prioritize and manage multiple projects simultaneously, and follow through in a timely manner.
-Communicate in a clear, concise and effective manner with a variety of stakeholders.
-Analyze situations carefully and adopt effective course of action.
-Coordinate Property management duties for various locations.
-Manage repair and maintenance vendors as needed.
-Execute special projects and other duties as assigned

Ideal candidate will have the ability to perform the aforementioned tasks and responsibilities successfully as well as will have the following skills, education and experience (a combination of same may be considered):

-Minimum of five years experience as an Executive Assistant supporting executive level positions.
-Possess a high degree of proficiency with MS Office products including Word/Excel/Power point/Access/Outlook.
-Outstanding inter-personal skills and etiquette.
-Excellent written/verbal communication and presentation skills
-Ability to work in a professional and confident manner.
-Ability to prioritize tasks and information quickly and efficiently, multi-task as needed.
-Exceptional organizational skills.
-Meticulously detail oriented
-Commitment to meeting deadlines.
-Independently and effectively analyze problems/situations and solve utilizing a strong decision making ability
-Professional, Discreet and Trustworthy
-Bi-lingual Bi-literate English Spanish is desirable.
-BS/BA Degree or equivalent education and experience
